Major Accountabilities
The Business Support Administrator is responsible for key deliverables, such as:
- Supporting daily sales requirements within the quote-to-cash process (creating Salesforce records, chasing vendors etc.)
- Processing orders with vendors, reviewing and verifying relevant documents specific to the order
- Manage the order process at each stage with sales reps, customers, and vendors
- Outlook In-Box Management - Checking and maintaining shared mailboxes and personal inboxes ensuring any items that require attention are effectively responded to.
- Client database management
- Support the Assurance, Consulting & Engineering teams by assisting with project planning and resource scheduling
- Act as customer relationship support for professional service functions, ensuring customer enquiries are promptly addressed
- Attend customer meetings as required to take minutes and actions
- Monitor ongoing projects ensuring their progress is kept up to date and identify any potential opportunities or risks
- Ensure Contacts and Accounts are accurately recorded
- Maintain files and record management
Outcomes and measures
- Duties performed within agreed SLAs (Service Level Agreements)
- High level of quality ensuring business processes are followed and accurately executed
- Ensure compliance with general work practices
- Demonstrate working in a busy and ever-changing environment with the ability to remain flexible & meet department deadlines
Professional skills, qualifications and experience
- Previous experience in an administrative assistant or business support role within a commercial environment
- Ability to drive project-based work and to manage tasks, schedules, deliverables, budget and project risk
- You have prior technical experience, ideally with knowledge and understanding of the Salesforce.com platform, eco-system, and best practices
- The Salesforce Administrator Certification is desirable but not essential
- Proficiency in the use of the Microsoft Suite including Excel, Word, PowerPoint, and Outlook
- Proven track record of compliance with policies and procedures
